M te tnga | About the role The Business Support Officer provides high-quality business support to the Headquarters Joint Support Group (HQ JSG) to enable them to fulfil their responsibilities to the business unit and wider NZDF. This position will provide day-to-day support to our key Joint Support Group stakeholders, including The Joint Military Police Unit, the Force Health Organisation and the Deployable Health Organisation. Key responsibilities: Establish and maintain standard operating processes and procedures (SOPs).
Organise workflow to ensure efficient and effective operation for team outputs. Assist in collating and validating financial performance reports. Coordinate, monitor and analyse monthly general ledger transaction variances for month end reporting.
Prepare/action journals to ensure costs are correctly allocated to the appropriate cost centres. Maintain registers for financial delegations and Special Purpose Codes. Maintain routine financial administration including fuel cards, Snapper Cards, PAYD Cards and OneNZ account.
Tracking and ordering of any team stationery, clothing and general consumables. Maintain Business Continuity Team page on NZDFs internal intranet site. Build highly effective relationships (both internal & external) to ensure the delivery of business needs.
Plan and coordinate meetings, including preparing and circulating agendas, taking minutes and following up actions arising from the meeting and attending where required. You will be confident in handling financial administration, travel bookings and preparation of meeting agendas and minute taking. You have a knack for organising and prioritising competing tasks ensuring, service delivery is maintained. A background in team administration and/or prior experience in a business support role will be highly advantageous.
It is desirable that you have the following: Exceptional relationship management skills. Strong interpersonal and organisation skills. Self-motivation and a willingness to learn new things.
Confidence and ability to communicate with varying levels of stakeholders. Experience collating data and compiling reports (advantageous). Proficiency in the use of Microsoft Suite in particular, Outlook, SharePoint and Excel.
Qualification in business administration or experience in a health & safety, secretarial, administration or coordination role.
