The Technology business unit is responsible for all aspects of the information security, cloud operations, business solutions and technology services functions for the Guardians, as well as delivering and maintaining high-quality tools that assist with investment decision-making and support key business initiatives. The Technology business unit works closely with teams across the wider organisation and various external vendors.
The Personal Assistant to General Manager Technology sits formally within the Technology business unit, and is also part of the Administration team that works together to ensure and support the smooth running of the office. About the position You will Perform general administrative duties, including: Assisting with organising and scheduling meetings, functions and seminars; Word processing and PowerPoint tasks; Composing and preparing letters, memos, minutes for the General Manager Technology and Technology Heads as needed; Creating and maintaining databases of records and filing systems; Coordinating travel and creating travel packs for the General Manager Technology and Technology Heads as required; Screening telephone calls and handling requests and enquiries from external parties. Assemble relevant data, statistics, information and reports as required by the General Manager Technology.
Act on behalf of Technology management for routine matters in the managers' absence.Provide administrative support to any allocated Board committees, management committees, groups or forums as required. Provide cover for other Administration team members in support of Board committees, management committees, groups or forums, including reception and dealing with telephone calls, as required.
Maintain relevant system records for the Technology business unit, including creating and updating contacts and meeting notes. Act as 'super-user' for key enterprise systems used by the Technology business unit. Contribute to Fund wide strategic projects as required whilst contributing Administration team perspectives.
