Company Wallace Development is a respected property development company based in Havelock North, known for delivering high-quality commercial and mixed-use developments across New Zealand. We are seeking a detail-oriented and proactive Facilities Administrator to support our operations and ensure the smooth day-to-day management of property-related administrative tasks. Role This is a key support role within our property management team, focused on the administration of contracts, tenant services, cost tracking, and general office duties.

The ideal candidate will have a strong administrative background, be proficient in Excel, and have experience working in a commercial property or facilities environment. Responsibilities Manage and administer tenders and supplier contracts Track and on-charge supplier costs to tenants accurately and in a timely manner Collaborate with the OPEX team to monitor and manage operating expenses Administer smaller lease agreements Process documentation related to insurance claims Provide coverage for the Facilities Manager by answering tenant maintenance requests and coordinating responses Maintain supplier databases and ensure compliance with contract terms Assist with general office administration such as ordering supplies (e.g.

milk) and managing petty cash or minor purchases Use Excel to manage spreadsheets, reports, and cost tracking related to property operations Skills and Experience Proven experience in a similar administrative role, preferably in property, real estate, or facilities management Strong organisational skills with an ability to prioritise tasks and meet deadlines Intermediate to advanced proficiency in Microsoft Excel Excellent communication skills, both written and verbal Attention to detail and accuracy in processing documentation and data A proactive and flexible approach to a varied workload Ability to work both independently and collaboratively with multiple stakeholders Benefits A supportive team environment within a reputable property development firm Competitive salary based on experience Opportunities for development and increased responsibility A vibrant office based in Havelock North Apply Apply now or for further information please call Christina Heir from Aura on 021 860 611.
