This role is more than just administrative, its a pivotal position that ensures the effectiveness of our executive team. This position is based at our head office in Hamilton, working alongside our executive and leadership team.

Key responsibilities: Provide high-level executive support to the Deputy CEO and Leadership Team, managing day-to-day operations with professionalism and precision. Anticipate needs and manage competing priorities to enable effective leadership functioning. Coordinate meetings, prepare agendas and materials, record minutes, and track actions with diligence.

Maintain our document control systemediting, proofing, templating, and ensuring scheduled reviews are completed. Manage key administrative service streams as part of the centralised business support team, integrating operations across our general practices. Plan and execute key events and milestones, including logistics, communications, and budget oversight.

Support project execution by tracking milestones, managing follow-ups, and contributing to timely delivery. Drive process improvement by identifying and implementing administrative efficiencies. Provide flexible, high-level operational support across a range of business tasks and projects.

About you: Proven experience in a senior administrative role, with exposure to complex, high-stakes environments. Highly organised, intellectually agile, and able to quickly assess and act in evolving situations. Strategic thinker with a proactive, solutions-focused mindset and the ability to work independently.

Exceptional attention to detail, with clear, persuasive, and professional communication skills. Emotionally intelligent and confident in engaging with diverse stakeholders across all levels. Proficient in Office 365 and virtual collaboration platforms (e.

g., Microsoft Teams, Zoom). A collaborative and curious team player who thrives on structure, pace, and purpose.
